This Request for Proposals (the “RFP”) is an invitation by the Fraser Valley Regional Library (the “FVRL”) to prospective proponents to submit proposals for the Lease of Delivery Trucks further described in this RFP.
Established in 1930, Fraser Valley Regional Library (FVRL) was the first of its kind in North America. Today, it is the largest public library system in British Columbia, with 25 community libraries and 1 additional location offering Outreach Services for a total of 26 libraries serving over 810,000 people in its service area. The FVRL is currently on the fifth year of its Strategic Plan which is available at: http://www.openingmindsenablingdreams.ca/
FVRL currently operates a fleet of four (4) delivery trucks to distribute and move library materials between its receiving/loading facility at the Administrative Centre (34589 Delair Rd, Abbotsford, BC) and its 26 library locations throughout the Fraser Valley Region. Three (3) of the trucks are stored in the garage at the Administrative Center for deliveries to the libraries. They are 18’ in length. One unit is stored offsite. It is used for Outreach Services. The box on that truck is 16’ to accommodate some residential deliveries and to care facilities.
The lease is expiring for two (2) trucks in 2024. One (1) ends on August 19, 2024, the other one (1) ends on September 16, 2024. The focus of this RFP is to ensure replacement units are in place at the time of lease expiry to ensure uninterrupted operations at FVRL.
Proposals must include supply, commissioning and delivery. FVRL expects to select a successful Proponent who can recommend and provide a cost-effective solution that best meets FVRL’s objectives and requirements as described in this RFP.
The following components are included in the lease of delivery trucks for FVRL: a.) Trucks (newest model year); b.) Custom paint, graphics and interior box design similar to that of FVRL’s current trucks; see photos attached in Appendix D below. c.) Delivery of leased trucks to designated FVRL location; d.) Orientation of FVRL drivers; e.) Maintenance of delivery trucks during the term of the lease; f.) Use of loaner/rental trucks between leasing contracts or in the case of longer than anticipated repairs/initial delivery; and g.) Any Value-Added Services.
