Audio Visual Event Preferred Vendor Agreement

NAIT is a polytechnic post-secondary educational institute that focuses on hands-on, technology-based education and applied research with over 30,000 students enrolled in various credit programs, apprenticeship training, and non-credit courses that are serviced by over 2,000 staff. NAIT is looking for a pre-qualified Audiovisual (AV) Service Provider that can assist NAIT staff with hosting small to large size events at NAIT. For individual events, the Service Provider may provide some or all of the following services: • Consult with NAIT Business Units, NAIT Conference and Event Services, and/or NAIT ITS (Information and Technology Services) about the AV services required for an event. • Provide quotes on agreed-upon services. • Set up and tear down temporary AV and stage equipment used for an event. Return pre-existing equipment in event locations to the same functional state as before the event. • Operate AV equipment and resolve any technical issues during an event. • Provide additional AV and stage equipment to complement existing equipment as needed. • Engage with ITS regarding the use of existing NAIT technology solutions, including obtaining access or seeking permission to modify existing systems. Service engagements will be between the Service Provider and individual NAIT Business Units for each separate event. Events will be quoted by the Service Provider on a case-by-case basis using a pre-defined pricelist. NAIT ITS will liaise between clients and the preferred vendor as required. NAIT expects to enter into an Agreement for a term of three (3) years with two optional one (1) year extensions.
